1. Connect your email and calendar to HubSpot
By connecting your email and calendar to HubSpot Sales Hub, you can:
- Send emails directly from HubSpot
- Log conversations on contact records
- Automatically create new contacts in HubSpot
- Send meeting invites with a personal booking link
- See who opens and clicks your emails
How to connect your email
- Click the gear icon (Settings) in the top right
- Go to General > Email
- Click Connect personal email
- Select your provider (Google or Office 365)
- Follow the steps and grant access
Tip: Using Outlook or Gmail? Install the HubSpot extension for Outlook or Chrome to log emails automatically.
How to connect your calendar
- In Settings, go to Calendar
- Click Connect calendar
- Select your calendar (Google Calendar or Outlook Calendar)
- Grant access when prompted
Bonus tip: Once connected, you can generate a personal meeting link so prospects can book time with you directly.
2. Use calling in HubSpot
With HubSpot, you can make calls directly from the CRM. Calls are automatically logged, and you can easily add notes.
How to set up calling
- Go to Settings > Activities > Calling
- Click Add calling tool
- Select your preference: use your own phone number or VoIP
- Verify your number and test the connection
Tip: Use the notes function to immediately log follow-ups after each call.
3. Download the HubSpot mobile app
Stay in the loop on the go, in between meetings or while traveling with the mobile app.
What you can do with the app
- Search and call contacts
- Update deals
- Add voice notes to records
- Receive push notifications when emails are opened
- Scan business cards into contact records
How to install the app
- Search for HubSpot in the App Store or Google Play
- Download and log in
- Enable notifications for updates about your contacts and deals
4. Connect Zoom, Microsoft Teams or Google Meet
Do you often use video calls? You can integrate your favorite meeting tool with HubSpot. This way, links are automatically included in scheduled meetings.
Connecting Microsoft Teams
- Go to the HubSpot App Marketplace
- Search for ‘Microsoft Teams’
- Click Install
- Follow the steps and authorize your account
Connecting Zoom
- Open the App Marketplace
- Search for ‘Zoom’
- Click Install and grant permission
Using Google Meet
If you’ve connected your Google Calendar, Google Meet links will be created automatically for meetings.
5. Extra tips for daily use of HubSpot Sales Hub
- Use templates: Create email templates for common messages. This helps you work faster and more consistently.
- Create tasks: After each call or email, add a follow-up task so nothing slips through the cracks.
- Use snippets: Snippets are reusable blocks of text (such as answers to FAQs or USPs) that you can quickly add to emails or notes.
- Keep your deals updated: Move deals through the pipeline to maintain accurate forecasting.
Start simple and build up
You don’t need to do everything at once. Start by connecting your email, calendar, and phone. Then add the mobile app and meeting integrations.
